About the Role
We are looking for a highly organized and bilingual Project Manager Assistant to support our cross-border innovation initiatives between Japan and Europe. This is a full-time, on-site role at our Tokyo office, working closely with the founder, senior consultants, and international partners.
You will play a key role in coordinating strategic projects involving Fortune 500 companies, cutting-edge startups, and public-sector organizations across Europe and Japan. Your responsibilities will include client communication, logistics and timeline coordination, meeting facilitation, and bilingual documentation.
This is not a purely administrative role. You will serve as a crucial interface between Japanese and European stakeholders and support the execution of complex, high-impact engagements. The ideal candidate is able to work with cultural sensitivity, attention to detail, and confidence in dynamic, multi-party environments.
Key Responsibilities
Project Coordination & Client Communication
Support the planning and execution of cross-border innovation projects involving corporate and public-sector clients
Serve as a bilingual liaison between Japanese and European stakeholders, ensuring accurate and culturally sensitive communication
Assist in meeting scheduling, agenda setting, and documentation in both Japanese and English
Site Visit& Client Coordination Support
Coordinate and manage cross-border site visits involving senior clients and project stakeholders
Arrange visit agendas, stakeholder mapping, and preparation materials in advance
Manage logistics for meetings at corporate offices, industrial sites, and partner locations in Japan and Europe
Accompany the team or client during visits to support coordination, translation, and real-time troubleshooting
Prepare briefing notes and post-visit reports summarizing key insights and next steps
Ensure operational and cultural precision in all aspects of the client experience
Research & Documentation
Conduct desk research on industries, partner companies, and relevant case studies
Prepare bilingual reports, presentations, and project documentation
Track key deliverables and maintain project milestone schedules to ensure timely execution
Internal Team Support
Collaborate with internal teams across Japan and Europe to execute project plans
Maintain clear internal documentation and updates to support seamless teamwork
Assist with strategic planning, reporting, and coordination for key accounts
Ideal Candidate People
Experience
2–5 years of experience in consulting, innovation, project coordination, or international business environments
Prior work experience involving cross-cultural teams or international stakeholders, preferably in Europe and Japan
Familiarity with professional norms in both Japanese and European corporate settings
Skills & Qualities
Fluency in Japanese (JLPT N2 or above) and English, with excellent verbal and written communication skills
Exceptionally organized, reliable, and capable of managing multiple priorities simultaneously
Confident interfacing with senior-level stakeholders and managing high-stakes environments
Proficient in tools such as Teams, and Notion or similar productivity platforms
